As your library of QR codes grows, folders keep everything organized and easy to find. The HoopAI platform supports a folder hierarchy with sub-folders, so you can structure your codes by campaign, client, location, event, or any other grouping that matches how your team works.

Why use folders

Without folders, all QR codes appear in a flat list. For businesses with dozens or hundreds of codes across multiple campaigns or locations, a flat list becomes difficult to navigate quickly. Folders solve this by:
  • Grouping related codes in one place (for example, all codes for a specific client or event)
  • Separating codes by team or department
  • Keeping active campaign codes distinct from archived or completed campaign codes
  • Making bulk operations (move, export, delete) faster when codes are already grouped

Creating a folder

Open the QR code library

Navigate to Sites > QR Codes.

Create a new folder

Click the New Folder button, or look for the folder creation option in the top toolbar. On some views this appears as a folder icon with a plus symbol.

Name the folder

Enter a descriptive folder name. Good folder names include the campaign name, year, or location — for example, “2026 Spring Campaign,” “Downtown Location,” or “Client: Acme Corp.”

Save the folder

Click Create or press Enter to save the folder. It appears in the folder panel on the left side of the QR code library.

Creating sub-folders

Sub-folders allow a second level of hierarchy inside any existing folder. This is useful when a top-level folder represents a broad category (for example, a client) and sub-folders represent individual campaigns or projects within it.

Open the parent folder

Double-click an existing folder to open it and view its contents.

Create a sub-folder

With the parent folder open, click the New Folder option. The new folder is created inside the parent folder.

Name the sub-folder

Enter a name that clarifies its place in the hierarchy — for example, “Q1 Mailer” inside a “2026 Spring Campaign” folder.

Locate the code

Find the QR code in the library (in the root level or inside another folder).

Open the actions menu

Hover over the code to reveal the three-dot menu icon, then click it.

Select Move

Click Move from the dropdown menu.

Select the destination folder

A folder picker appears showing your folder hierarchy. Click the destination folder, then confirm the move.

Moving multiple codes at once

Assigning a folder during bulk import

When you create QR codes using the CSV bulk import feature, you can assign all codes in the batch to a folder during the upload step. The folder must already exist before the import begins. See Importing QR codes for details. The QR code library shows your folder structure in the left panel. Click a folder name to view its contents in the main panel. Double-click a folder to enter it and see sub-folders and codes at that level. A breadcrumb trail at the top of the main panel shows your current location in the hierarchy, for example: QR Codes > 2026 Spring Campaign > Q1 Mailer. Click any segment of the breadcrumb to navigate back up to that level.

Renaming and deleting folders

Renaming a folder

Right-click a folder name (or use the three-dot menu next to the folder) and select Rename. Enter the new name and confirm.

Deleting a folder

Right-click the folder and select Delete. Before deleting a folder that contains codes, decide what to do with the codes inside:
  • Move codes to a different folder before deleting, or
  • Accept that deleting the folder will also remove its contents (depending on platform behavior — the platform may prompt you to confirm)
Deleting a folder removes the organizational structure. Review the folder contents and move any codes you want to keep before proceeding with deletion.

Best practices for folder organization

By campaign

Create one top-level folder per marketing campaign. Name folders with the campaign name and year so they sort chronologically. Archive completed campaigns by moving their folders into an “Archive” folder.

By location or client

If you manage multiple business locations or clients, create a top-level folder for each. Sub-folders inside represent individual campaigns or time periods.

By QR code type

Some teams prefer to organize by type — one folder for all vCard codes, one for all review codes, one for all Wi-Fi codes. This works well when you want to audit or update a specific type across the entire account.

Active vs archived

Maintain a clear separation between active and archived codes. An “Archive” folder containing sub-folders by year or quarter keeps old codes accessible without cluttering the active library view.
Create folders before running a bulk QR code import. You can assign all imported codes to an existing folder during the upload step, saving time compared to moving codes individually afterward.
