Community events let you organize and promote scheduled activities within your community groups — workshops, Q&A sessions, office hours, live calls, and in-person meetups. Members can RSVP, receive reminders, and view events in a calendar format.

Creating an event

1

Navigate to the Events channel

Open your community group that has an Events channel. If the group does not have one, add an Events channel from the group settings.
2

Click + Create Event

Click the + Create Event button in the Events channel.
3

Fill in event details

Enter the event title, description, date, start time, and end time. Add a cover image to make the event visually appealing in the feed.
4

Choose the event type

Select the format:
  • Virtual — online event with a meeting link or Go Live session
  • In-person — physical location with an address
5

Set RSVP options

Enable RSVPs so members can confirm attendance. Optionally set a maximum capacity.
6

Publish the event

Click Create. The event appears in the Events channel and members receive a notification.

RSVPs and attendance

Members RSVP to events directly from the Events channel:
  • Going — confirmed attendance
  • Interested — may attend
  • Not going — declined
Admins can view the RSVP list from the event detail page and see who has confirmed, expressed interest, or declined.

Reminders

Members who RSVP receive automatic reminders before the event:
  • 24 hours before the event
  • 1 hour before the event
  • At the event start time
Reminder notifications are sent through the community notification system (in-app, email, or push depending on member settings).

Recurring events

Set up recurring events for regular community activities:
  1. When creating the event, enable Recurring.
  2. Choose the frequency: daily, weekly, biweekly, or monthly.
  3. Set the end date or number of occurrences.
  4. Each occurrence appears as a separate event in the calendar with its own RSVP list.
Recurring events are ideal for weekly office hours, monthly Q&A calls, or daily accountability check-ins. They create a predictable rhythm that increases member engagement and retention.

Event discovery

Members discover events through:
  • The Events channel within each group — showing upcoming events in a list or calendar view
  • Community notifications — alerts for new events and reminders
  • Pinned posts — pin event announcements in the group feed for visibility

Calendar integration

Events can sync with members’ personal calendars:
  • When a member RSVPs, they can click Add to Calendar to download an .ics file
  • The .ics file works with Google Calendar, Apple Calendar, Outlook, and other calendar apps
Community events are separate from the HoopAI calendar system used for booking appointments. Community events are designed for group activities within the member portal, while the calendar system handles client-facing appointment scheduling.
