Listing sync is the process by which your business information — name, address, phone number, website, hours, and other details — is pushed from the HoopAI platform to dozens of online directories simultaneously. This ensures that every place a potential customer might find your business shows accurate, consistent information.The HoopAI platform powers listing sync through Yext, which maintains direct publisher relationships with major directories including Google, Facebook, Apple Maps, Bing, Yelp, TripAdvisor, and many more.
When your business name, address, and phone number (NAP) differ across directories, it creates confusion for customers and degrades your local search ranking. Search engines use cross-directory consistency as a signal of business legitimacy. A business with conflicting NAP data across platforms ranks lower in local search results than one with uniform, verified information everywhere.Common causes of inconsistent listings:
Moving to a new address and not updating all directories
Phone number changes applied in some places but not others
Different abbreviations or formatting of the business name (e.g., “St.” vs “Street”)
Old listings created before the Yext integration was active
Listing sync via the HoopAI platform resolves these inconsistencies by maintaining a single source of truth that propagates to every connected publisher.
Make changes to your business information in Reputation > Listings > Edit Listing Information. This is your master record — the single source of truth for all directories.

The platform submits the update
When you save changes, the platform queues an update and submits it to all connected publishers through the Yext network.

Publishers process the update
Each publisher receives the update and applies it to your listing on their platform. Processing time varies by publisher — most update within 24–72 hours, though some publishers take longer.

Sync status is updated
The platform tracks the status of each publisher’s update. You can view the sync status for every publisher in the Listings section.

The publisher rejected or could not apply the update — action required
Not synced
No listing currently exists on that publisher for your entity
Check sync status regularly, especially after making updates to critical fields like your address or phone number. An Error status on a high-traffic directory like Google or Yelp needs prompt attention.
Go to Reputation > Listings and select the entity you want to update.

Click Edit Listing Information
Open the edit interface for that entity.

Update the relevant fields
Make your changes. Use accurate, complete data — avoid abbreviations in fields like address, and ensure phone numbers include the full country code.

Save
Click Save. The update is queued and submitted to all connected publishers immediately.

Monitor sync status
Return to the Listings overview after 24–48 hours to confirm that the update has been applied across directories. Any publishers showing an Error status will need attention.
If your listing update has been in a Syncing state for longer than expected, use the Force Sync feature to re-submit the update with priority status.

Open your listing
Navigate to the entity in Reputation > Listings.

Select sync scope
Force Sync can be applied at two levels:
Entity level — re-submits the update to all connected publishers at once
Publisher level — re-submits to a single specific publisher only

Request Force Sync
Click Request Force Sync for the chosen scope and confirm.
Force Sync prioritizes your update in the queue, but final processing time still depends on the publisher. Updates to some directories can take up to a week even with Force Sync.
Character limit exceeded on business name or description
Different publishers enforce different character limits. Shorten your business name or description to meet the most restrictive publisher’s requirements. The platform displays which publisher triggered the error — check that publisher’s guidelines for their specific limits.
Address validation failed
Ensure your address is formatted to official postal standards. Use the full street address including building number, street name, and suite or unit number where applicable. For businesses without a public address, enable Hide Business Address and define service areas instead.
Phone number format rejected
Format your primary phone number with the full country code prefix (e.g., +1 555 123 4567 for a US number). Remove any extensions from the primary phone number field — add extensions to a separate field if available.
Publisher rejected the category
Not all publishers accept every business category. If a category error appears, check whether the publisher supports that specific category or whether a broader parent category needs to be used instead.
Update pending for more than 48 hours
Use Force Sync at the publisher level to re-submit the specific update. If the issue persists beyond 48 additional hours after Force Sync, contact HoopAI support for assistance.
Duplicate listings — extra profiles for the same business on the same directory — undermine your sync efforts by splitting ranking signals and potentially showing outdated information. The HoopAI platform scans for duplicates monthly and flags them for your review.Managing duplicates is covered in depth in Listings. Suppressing confirmed duplicates ensures your synced data is the only active listing for your business on each directory, maximizing the impact of your sync efforts.
Yes. Listing sync is powered by Yext, which maintains direct relationships with major directory publishers. An active Yext entity is required to use the sync features. Contact your platform administrator to enable Listings for your account.
How many directories does HoopAI sync to?
The number of connected publishers depends on your Yext plan tier. Major directories always included are Google, Facebook, Apple Maps, Bing, Yelp, TripAdvisor, and several dozen others across categories including navigation, local search, and industry-specific directories.
What happens to my listings if I cancel my Yext subscription?
Cancelling your Yext subscription stops active management and sync updates, but the information already published on directories remains. Publishers do not automatically remove or revert listings when you unsubscribe — they simply stop being actively managed.
Can I manage listings for multiple business locations?
Yes. Create a separate entity for each location using the Create Entity button in Reputation > Listings. Each entity has its own independent sync status, data fields, and Force Sync controls.
Can I hide my address on all directories?
Yes. Enable Hide Business Address in the Edit Listing Information panel. This is appropriate for home-based or service-area businesses that do not want their address publicly listed. Define service areas to help customers understand where you operate.
