White-labelling lets you present HoopAI as your own branded platform. Your clients log into an interface with your logo and brand colors, receive emails from your domain, and never see HoopAI branding — the platform becomes your product. White-label settings are configured at the agency level and automatically apply across all sub-accounts.
White-label features are available on plans that support agency/SaaS functionality. Check your plan details if you do not see these settings.

Setting up your agency branding

Open agency settings

Log in and ensure you are in the Agency view. Go to Settings > Agency Settings or Settings > White Label.

Upload your logo

Click the logo field and upload your logo file. Recommended format: PNG with transparent background. Recommended minimum width: 400px. The logo will be resized to fit the sidebar and login screen automatically.

Upload your favicon

Upload a square image (minimum 32x32px, ideally 512x512px) in PNG or ICO format. This appears in browser tabs when clients use the platform.

Set your brand colors

Enter your brand’s hex color codes for the primary color (used for buttons and active states) and any accent colors. Preview the result in the live preview panel if available.

Configure agency identity

Enter your Agency Name, Support Email, and optionally your Support Phone and Terms of Service URL. These appear in the platform footer and in system email footers.

Save changes

Click Save. Changes propagate to all sub-accounts within a few minutes.

Setting up a custom login domain

By default, clients access the platform via the standard HoopAI login URL. With a custom domain, your clients log in at a URL like app.youragency.com or crm.yourbrand.com.

Purchase or identify a domain

You need a domain (or subdomain) that you own and control. If you do not have one, purchase one through a domain registrar such as Namecheap, GoDaddy, or Cloudflare.

Go to domain settings

In the agency settings, navigate to Domains or White Label > Custom Domain.

Enter your custom domain

Type the subdomain you want to use — for example, app.youragency.com. Click Add or Verify.

Add the DNS record

The platform provides a CNAME record to add to your domain’s DNS settings. Log into your domain registrar or DNS provider and add a CNAME record pointing your chosen subdomain to the value provided by HoopAI.Example:
  • Type: CNAME
  • Host/Name: app (if your full domain is app.youragency.com)
  • Value/Target: the CNAME target provided by HoopAI

Wait for propagation

DNS changes typically propagate within minutes, but can take up to 48 hours in rare cases. Return to the domain settings and click Verify once propagation is complete.

Enable SSL

HoopAI automatically provisions an SSL certificate for your custom domain via Let’s Encrypt. This may take a few minutes after verification. Clients will see the padlock icon in their browser.
Use a subdomain rather than your root domain for the client portal. For example, use app.youragency.com rather than youragency.com. This avoids DNS conflicts with your main website.

Customising system emails

System emails — such as invitation emails, password resets, and notification alerts — are sent from the platform on your behalf. To brand these:

Set up an email sending domain

In Settings > Email Services (or White Label > Email), add a sending domain you own. You will need to add SPF, DKIM, and DMARC DNS records to the domain to authenticate it. The platform provides the exact records to add.

Configure the From name and address

Set the From Name (e.g., “The Acme Team” or “Acme CRM”) and the From Address (e.g., noreply@youragency.com). All system emails will use these values.

Customise email templates (if available)

Some plans allow customisation of the invitation and notification email templates. Look for Email Templates in the white-label or agency settings to edit the subject lines and body content.

Mobile app white-labelling

On qualifying plans, you can deploy a fully branded mobile app to the App Store and Google Play under your own developer accounts. Your clients download an app with your name and icon rather than a generic platform app. Mobile app white-labelling requires:
  • An Apple Developer account (for iOS)
  • A Google Play Developer account (for Android)
  • Your app name, icon, and splash screen assets
  • A provisioning process that typically takes 1–4 weeks for initial approval

Frequently asked questions

If you correctly configure all white-label settings — custom domain, logo, email sending domain, and agency name — clients should not see HoopAI branding in normal usage. However, some third-party OAuth screens and marketplace integrations may still reference the underlying platform name. Refer to the overview FAQ for more on this.
No. White-label branding is set at the agency level and applies uniformly to all sub-accounts. If you need different branding per client, you would need separate agency accounts.
No. Sub-account users see the agency’s branding and cannot override it. Only agency admins can change white-label settings.
Most changes (logo, colors, agency name) appear within a few minutes of saving. Custom domain changes depend on DNS propagation, which can take up to 48 hours.
