Log in for the first time

You will receive a welcome email with a link to set your password. Click the link, create a secure password, and you will land on your HoopAI dashboard.If you are an admin inviting team members, they receive the same welcome email flow automatically when you add them under Settings > My Staff.

Complete your business profile

Go to Settings > Business Profile and fill in your company name, legal name, address, time zone, and logo. This information populates email footers, booking pages, invoices, and compliance registrations automatically.Complete your business profile →

Set up your phone number

Go to Settings > Phone Numbers and purchase a local or toll-free number. This enables SMS and calling directly inside the platform.After purchasing, complete A2P 10DLC registration under Settings > Trust Center before sending any bulk SMS.Set up your phone number →

Connect your domain

Go to Settings > Domains to connect a custom domain for your funnels, websites, and client portal — or to purchase a new one directly inside the platform.Connect your domain →

Configure email services

Go to Settings > Email Services to set up a dedicated sending domain for bulk campaigns and/or connect your Google or Outlook account for 1-on-1 email conversations.

Invite your team

Go to Settings > My Staff to add team members. Assign each person a role that controls what they can see and do in the platform.Invite team members →

Import your contacts

Go to Contacts > Import and upload a CSV of your existing contact list. Map your columns to HoopAI fields during the import wizard.

Explore the dashboard

Return to the dashboard to see your pipeline, conversations, and appointment metrics in one place. Customize the widgets to surface the data that matters most to your business.

Frequently asked questions

Most businesses complete the core setup in under an hour. Phone number provisioning is instant. A2P 10DLC registration typically takes 1–5 business days to be approved by the carriers. Domain connection usually propagates within minutes to a few hours.
Yes — you can use most features immediately. However, bulk SMS sending will be restricted until your A2P 10DLC registration is approved. 1-on-1 SMS messaging via the conversations inbox may still work in limited volumes during the review period.
Complete your own business profile and phone setup first, then invite team members. Team members can be given limited roles so they only see what is relevant to their work. See the My Staff guide for role details.
