The WhatsApp integration lets you connect a WhatsApp Business account to the HoopAI Platform so you can send and receive WhatsApp messages directly from the Conversations inbox — alongside SMS, email, and other channels.

Accessing WhatsApp settings

Go to Settings in the left sidebar, then select WhatsApp.

Requirements

Before connecting WhatsApp, you need:
  • A Facebook Business Manager account with admin access
  • A WhatsApp Business Account (WABA) — either an existing one or a new one created during setup
  • A phone number to register with WhatsApp (this cannot be a number already active on personal WhatsApp)

Connecting your WhatsApp Business account

Open WhatsApp settings

Go to Settings → WhatsApp.

Click connect

Click Connect WhatsApp to begin the setup process.

Authenticate with Facebook

You will be redirected to Facebook to authenticate with your Business Manager account. Grant the required permissions.

Select or create your WABA

Choose an existing WhatsApp Business Account or create a new one. Select the phone number to register.

Verify your phone number

Enter the OTP (one-time password) sent to your selected number to verify ownership.

Complete setup

Once verified, your WhatsApp Business Account is connected. Messages sent to your WhatsApp number will appear in the Conversations inbox.

WhatsApp messaging

Sending messages

WhatsApp messages appear in the Conversations inbox alongside other channels. To start a new WhatsApp conversation:
  1. Open a contact record
  2. Click the channel selector and choose WhatsApp
  3. Compose your message — note that initiating a new conversation requires using an approved WhatsApp Template message

WhatsApp templates

WhatsApp requires pre-approved templates for outbound messages to contacts who have not messaged you in the last 24 hours. To create and submit templates:
  1. Go to Settings → WhatsApp → Templates
  2. Click Create Template
  3. Choose a template category (Marketing, Utility, Authentication)
  4. Write your message content with any variable placeholders
  5. Submit for WhatsApp review — approval typically takes 24–48 hours

WhatsApp voice notes

You can send and receive voice note messages through WhatsApp. Voice notes appear in the Conversations thread and can be played back directly in the platform. This feature is also available on the mobile app.

Managing multiple WhatsApp numbers

If your business needs multiple WhatsApp numbers (e.g. for different locations or departments), additional numbers can be added from the WhatsApp settings page. Each number operates as a separate inbox within the platform.
WhatsApp messaging is subject to Meta’s Business Messaging Policy. Ensure your use case complies with their guidelines to maintain account standing.
