# Understanding your invoice

> How to find, read, and use your HoopAI invoices for accounting and tax purposes.

Every payment on HoopAI generates a detailed invoice automatically. You can access all invoices from **Settings → Billing → Invoice History**.

## Finding your invoices

1. Go to **Settings → Billing**
2. Click **Invoice History**
3. All past invoices are listed with date, amount, and status
4. Click any invoice to view the full detail, or click the download icon to save a PDF

Invoices are available immediately after each charge and are retained indefinitely in your account.

  To receive invoices by email automatically, go to **Settings → Billing → Billing Notifications** and enable **Email me invoices**.

## What's on your invoice

A typical HoopAI invoice has three sections:

### 1. Header information

| Field               | What it shows                              |
| ------------------- | ------------------------------------------ |
| **Invoice number**  | Unique reference ID (e.g., INV-2026-00123) |
| **Invoice date**    | Date the charge was processed              |
| **Billing period**  | The month or period this invoice covers    |
| **Account name**    | Your registered account name               |
| **Billing address** | The address on file for your account       |

To update your billing name or address, go to **Settings → Billing → Billing Address**. Changes apply to future invoices.

### 2. Line items

Each charge appears as a separate line item:

| **Usage — Email**       | 2,100 emails over limit        | Email overage above plan limit                 |
| **One-time charge**     | Guided Onboarding              | One-time service or purchase                   |
| **Proration**           | Plan upgrade credit            | Credit or charge when changing plans mid-cycle |
| **Tax**                 | Sales tax (NY, 8.875%)         | Applied where required by law                  |

### 3. Summary totals

| Field              | Description                                       |
| ------------------ | ------------------------------------------------- |
| **Subtotal**       | Sum of all line items before tax                  |
| **Tax**            | Any applicable sales tax or VAT                   |
| **Total charged**  | Amount debited from your payment method           |
| **Payment method** | Last 4 digits of card, or bank transfer reference |

## Common questions about charges

### Why is my invoice different each month?

HoopAI combines a fixed subscription fee with variable usage charges. Your base plan is the same every month, but SMS, call, AI, and email usage fluctuates based on how much you send and do.

### What is a proration charge?

If you upgrade or downgrade your plan mid-cycle, HoopAI calculates a prorated charge or credit:

* **Upgrading**: You pay the price difference for the remaining days in the current cycle
* **Downgrading**: The lower plan takes effect at the start of the next billing cycle — no mid-cycle credit is issued

### What are wallet deductions vs. invoice charges?

Some usage (calls, SMS, AI) is deducted from your pre-funded wallet balance in real time. The wallet top-up charge appears as a line item on your invoice when your auto-recharge threshold is triggered.

### Why do I see a Stripe charge on my bank statement?

HoopAI uses Stripe as its payment processor. Your bank or card statement will show the charge as **Stripe** or **HoopAI** depending on your bank's display format. The invoice in your account is the authoritative record.

## Downloading and sharing invoices

**To download a single invoice:**

1. Go to **Settings → Billing → Invoice History**
2. Click the invoice you need
3. Click **Download PDF**

**To download multiple invoices:**

1. Go to **Settings → Billing → Invoice History**
2. Use the date range filter to select the period you need
3. Click **Export All** to download a ZIP of PDF invoices

**To share an invoice with your accountant:**
Download the PDF and send it directly, or forward the invoice email receipt. Invoices include all the information needed for expense reporting and tax filing.

## Correcting invoice details

## Using invoices for tax purposes

HoopAI invoices are suitable documentation for business expense claims and tax deductions. Each invoice shows:

* The service description (suitable as a business purpose record)
* The date and amount paid
* Your business name and address
* A unique invoice number for your records
