# vCard QR codes

> Create a QR code that saves your full contact details directly to a scanner's phone in one tap.

A vCard QR code encodes your contact information in the standard vCard format (VCF). When someone scans it, their device immediately prompts them to save a new contact with all the information you provided — name, phone numbers, email, website, company, job title, and address. No manual data entry required.

## vCard vs business card QR code

The HoopAI platform offers two contact-sharing QR code types. Understanding the difference helps you choose the right one:

Use a vCard when you want contacts saved directly and reliably to someone's phone contacts. Use a [business card QR code](/qr-codes/vcard-qr-code) when you want a richer, branded digital presence.

## Creating a vCard QR code

    Navigate to **Sites > QR Codes** and click **Create QR Code**.

    Enter a name for this code in your library — for example, "Sarah Chen vCard" or "Sales Team vCard — John."

    Choose **vCard** from the list of QR code types and click **Next**.

  <Step title="Enter contact information">
    Fill in the contact details. Fields marked as required must be completed; all other fields are optional but recommended for a complete contact entry.

    **Name fields:**

    * First name (required)
    * Last name (required)

    **Phone fields:**

    * Phone number — the primary contact number, with country code (required)
    * Mobile number — a second mobile number if applicable

    **Digital contact:**

    * Email address
    * Website URL

    **Professional details:**

    * Company name
    * Job title

    **Address:**

    * Street address
    * City
    * State / Province
    * Country
    * Postal code

    **Profile image:**

    * Upload a headshot or company logo (PNG recommended)

    Scan the preview with a real device. Confirm the contact save prompt appears and that all fields populate correctly. Check that phone numbers, email addresses, and the website URL are accurate.

## Tips for field completion

### Phone number format

Enter phone numbers with the country code in international format: +1 for US and Canada, +44 for UK, and so on. For example: +1 555 123 4567. Some devices may not parse numbers without country codes correctly, especially when the scanner is in a different country from the contact.

### Email address

Include your primary professional email. If you have a secondary email (personal or alternate business address), you can add it in the mobile number field only if your specific use case calls for it — otherwise the contact card will contain only the fields the vCard standard defines.

### Website URL

Include the full URL with `https://` prefix. Linking to your personal LinkedIn profile, your business website, or a personal landing page all work well here.

### Profile image

A headshot makes the saved contact recognizable in the device's contacts app. Contacts with photos are easier to identify in call lists and messaging apps. Use a square image with good lighting and a clear, professional appearance. PNG with transparent background or a simple solid background works best.

If you represent a company rather than an individual, a company logo is appropriate.

## Where to use vCard QR codes

### Physical business cards

Print the vCard QR code on a physical business card alongside your contact details. When someone scans the code, the full contact is saved digitally even after they lose the physical card. This ensures your contact details survive in their phone regardless of what happens to the paper card.

### Conference and networking badges

Event badges that include a vCard QR code allow attendees to scan each other's badges and exchange contact information in seconds. No paper card exchange required.

### Email signatures

Add the vCard QR code as a small image in your email signature with a "Save my contact" caption. Mobile email recipients can scan the image and save your contact with one tap.

### Website "contact" pages

Embed the vCard QR code on your website's contact page. Desktop visitors see a QR code they can scan with their phone to instantly save the contact without typing.

### Printed marketing materials

Include the vCard QR code on flyers, brochures, postcards, or any material where a potential customer or partner might want to save your information. Place it near your contact section with a short label like "Scan to save our contact."

## Updating a vCard QR code

Because vCard QR codes in the HoopAI platform are dynamic, you can update the contact details at any time without generating a new code or reprinting materials. The stored QR image does not change — the platform updates the contact data that is served when the code is scanned.

To update:

1. Open the code from **Sites > QR Codes**
2. Click the three-dot menu > **Edit**
3. Navigate to the content details step
4. Update the relevant fields
5. Save

Anyone who scans the existing printed code after the update will receive the new contact details.

<Tip>
  Add all optional fields even if they feel redundant. A complete contact card — with job title, company, website, and address — is more useful to the person saving it than a minimal entry with only a name and phone number. Complete contacts are also easier to identify later in a phone's contacts list.
